Assigned to organize an internal company event but not sure what to do?
In March and April, the season of farewells to colleagues who have shared challenges through transfers or relocations, as well as welcomes for new team members, arrives. During this time, many companies hold internal events. Sometimes, new employees are even assigned as organizers for these events.
“I’ve been put in charge of organizing an internal company event, but I don’t know what to do.”
“With new team members joining, I want to add a fresh touch to our annual company event!”
“What kinds of internal events are there, anyway?”
For those tasked with organizing company events, we’ll introduce examples and tips to help make your event more fulfilling and successful.
What is the Role of an Event Organizer?
In the first place, a company event refers to gatherings or recreational activities organized by a company. These can range from celebrations such as welcome parties for new employees and anniversary events, to activity-based events like sports festivals, and even seminars aimed at acquiring new skills. The types of company events are diverse and serve various purposes.
The primary purposes of hosting these internal company events include enhancing internal communication, boosting employee motivation, and strengthening team cohesion. Such events are designed to foster stronger collaboration among employees. Additionally, they can inspire new ideas and contribute to skill development. Regardless of the type of event, the underlying goal is to create an environment that encourages employees to engage positively with their work.
For those who have been put in charge of organizing an event, it’s natural to feel uncertain about whether it will be a success. However, the most important thing is to ensure that the employees who attend the event have an enjoyable experience. Keep that mindset at the heart of your planning.
Internal Company Events Utilizing Unique Venues
When planning in-house events, it is essential to consider the purpose of the event and the mindset of the participants in order to create an enjoyable experience for employees. Choosing the right venue and designing engaging event content are key factors. One effective way to make the event feel extra special for participants is to utilize unique venues.
A unique venue refers to a special location that is made available for events, often for purposes different from its original function. Examples include historic buildings, temples and shrines, museums, and other places with a distinctive atmosphere. These are often venues that people rarely have the opportunity to enter. Not only do they create a sense of exclusivity, but they can also inspire new ideas and foster creativity.
We would like to present a case study of an internal corporate event held in Kyoto
Taking into account the distinctive features of unique venues, we are pleased to share a case study of an internal corporate event supported by UNIQUE VENUES OF JAPAN.
-New Employee Welcome Reception (Kyoto, Funatsuru Kyoto Kamogawa Resort)
Funatsuru Kyoto Kamogawa Resort, a nationally designated Important Cultural Property, served as the venue for a festive welcome party for new employees. The event was held in this historic location to warmly welcome the newcomers. We supported the organizer’s request to create a vibrant atmosphere using beautiful floral arrangements.
With the theme of “A Colorful and Elegant Welcome Party Surrounded by Vibrant Flowers,” we arranged meetings with a flower coordinator to carefully plan the venue decorations. As the attendees were new employees, we also incorporated special touches such as custom-made signs and menu cards displaying the company name, helping them to become more familiar with the company.
We were delighted to receive feedback saying,
“It was a truly memorable event that will undoubtedly be talked about among the new employees for years to come.”

-50th Anniversary Celebration Party (Kyoto, Heian Jingu Kaikan)
Heian Jingu Kaikan, overlooking the scenic Shin’en Garden, served as the venue for a large-scale anniversary celebration hosted by a global company, with over 100 attendees. We supported the organizer’s wish to host a memorable event to express gratitude and celebrate this important milestone with employees, business partners, and stakeholders from both Japan and abroad.
This 50th anniversary celebration welcomed not only employees but also guests from overseas among the company’s business partners. As it marked an important milestone—the company’s 50th anniversary—a dedicated coordinator worked closely with the chef to create a special, customized menu for the occasion, which the guests thoroughly enjoyed.
